HEP bulletin - February 2023
Registration and attendance
Please check and clear your registration, attendance, and Change of Circumstance (CoC) worklists.
This will help to maintain accurate information on student accounts. It will also help us to minimise overpayments to students and recover any tuition fee overpayments.
You can find more information about how to submit attendance and registration confirmations in the Student Information Service user guide.
Registration but no attendance confirmation
If you've confirmed a student's registration, you should always follow this up with the appropriate attendance confirmation.
Please check your worklists for any attendance confirmations that have come back onto the worklist after a student’s reassessment, and confirm you accept the change with an ’A’ code. If the details are not correct, please contact our Partners Support Desk to have these changed.
Please see the Student Information Service user guide for attendance confirmation definitions.
Course collection for academic year 2023/24
Full-time undergraduate courses
The undergraduate application service has opened to English-domiciled and Northern Irish-domiciled students this week. If our CMS validation team or your HEP Account Manager has been in touch with you about your courses, please respond as soon as you can to avoid further delay with the publication of your courses.
If you're still awaiting information before you can submit your courses, please let your HEP Account Manager know. Please email our CMS validation team to confirm once you've completed your course submission.
Part-time undergraduate courses
You can now submit your academic year 2023/24 part-time undergraduate courses on our Courses Management Service (CMS)
All open part-time courses that were in CMS for academic year 2022/23 have been rolled over to the academic year 2023/24 tab. These are now ready for you to review and save.
You should complete your course submission by Friday 21 April 2023.
It is your responsibility to ensure that you only submit courses that you're designated for. You can find more information about designation in our CMS user guide.
Please take extra care with your course information to ensure the course details are correct and align to policy and guidance.
If you have part-time courses that are only available to Scottish domiciled students, you do not need to add these to CMS. SAAS gets the part-time study mode information from the student's SAAS application.
Postgraduate master's courses for Northern Irish students
You can now also submit your postgraduate master's courses for students domiciled in Northern Ireland. The submission deadline is Friday 21 April 2023.
New for academic year 2023/24
A new Higher Technical Qualification (HTQ) course attribute is available on CMS. You must use this to identify Higher Technical Qualification courses. Please use this to ensure your students receive the correct funding package.
We've also updated our CMS user guide with information on how to add an HTQ course.
Bursary Administration Service invoices
For those of you who subscribe to the Bursary Administration Service (BAS), we'll issue your annual invoices in the coming weeks. If you pay by Direct Debit, the payment will be taken approximately 30 days after the date of the invoice.
If you do not pay by Direct Debit, please arrange to pay within 30 days of the invoice date. Our bank details will be included on the invoice for ease of reference.
You will not be able to access academic year 2023/24 student information until you've completed your payment.
Bursary Administration Service updates
We've made the following enhancements to the Bursary Administration Service.
Award submission email notification process – when you submit your bursary award for review, a message will be sent to SLC to allow the review process to be started. Following a check of the award details, you'll receive an email confirming the review of the award has been completed and ready for activation, or alternatively the award has been rejected and requires revision by you. This will be effective for all automated awards submitted for academic year 2023/24
Reinstatement of award – the system has been updated to ensure any award cancelled or rejected prior to an application being reassessed is not automatically reinstated and presented for approval. However, if you wish to reinstate the award manually, you'll still be able to.
